Importing your catalogue and images

Upload a spreadsheet of products, or a ZIP of product and category images, instead of adding everything by hand.


What you can import

Start new import offers three types:

Every import has a maximum file size of 5MB.


Importing a catalogue list

Steps

  1. Go to sidebar or back office → Imports.
  2. Click Start new import, then Catalogue list.
  3. The Import catalogue list dialog asks "Where is your catalogue coming from?" Choose one of the two cards:
    • "I'm moving from another system""Download our import template, add your catalogue, and upload."
    • "I'm moving from EPOS Now""We'll guide you through exporting your catalogue from EPOS Now and importing it."
  4. Click Next.
  5. Follow the numbered instructions in the dialog that opens (they differ between the two routes — see below).
  6. Drag your finished file onto the upload area, or use Click here to upload to browse for it.
  7. Check the file name and size shown on the card that replaces the upload area. If you picked the wrong file, use the bin icon to remove it and choose another.
  8. Click Import.

If you chose "I'm moving from another system"

The dialog is headed "Upload a file containing your catalogue information" and gives two steps:

  1. "Please follow step-by-step instructions in our help article."
  2. "Download our template to fill it with your catalogue information."

Fill the downloaded template in with your products and upload it.

If you chose "I'm moving from EPOS Now"

The dialog is headed "Upload a converted file from EPOS Now containing your catalogue information" and gives three steps:

  1. "Please follow step-by-step instructions in our help article."
  2. "Download our migration spreadsheet and fill it with your data from EPOS Now."
  3. "Download the WolletteDataGenerator.bas file to convert your Excel spreadsheet into a Wollette data file."

So there are two downloads here, not one: the migration spreadsheet you fill in, and the converter file that turns the completed spreadsheet into the file Wollette accepts. Upload the converted file, not the spreadsheet.

If you can't get the conversion to work, the dialog offers a way out: "If you're having trouble converting your Excel spreadsheet into a Wollette data file, send us your completed migration spreadsheet with the subject "EPOS Now data conversion", and we'll convert it and send you the converted file." Send it to support@wollette.com.

What happens next

You'll see "Catalogue uploaded successfully." The dialog closes and a new row appears at the top of the Imports table.


Importing product images

Steps

  1. Go to Back office → Imports.
  2. Click Start new import, then Product images.
  3. The Import product images dialog is headed "Upload a ZIP file containing your product images" and lists four things to do first:
    1. "Before you start: make sure your products are already in Wollette. If they aren't, upload or create your product list first."
    2. "Ensure all images are in a supported format: JPG, JPEG, PNG, SVG, or WEBP."
    3. "Name each image file using the product SKU (for example, 1001.png). The file name must match the SKU exactly."
    4. "Add product images to a .zip file and upload it below."
  4. Drag the ZIP onto the upload area, or use Click here to upload.
  5. Click Import.

The naming rule in step 3 is what matches an image to a product, so get it right before you zip anything up.

What happens next

You'll see "Product images ZIP uploaded successfully." and a new Product images row appears in the table.


Importing category images

Steps

  1. Go to Back office → Imports.
  2. Click Start new import, then Category images.
  3. The Import category images dialog is headed "Upload a ZIP file containing your category images" and lists four things to do first:
    1. "Before you start: make sure your categories are already in Wollette. If they aren't, upload or create your categories first."
    2. "Ensure all images are in a supported format: JPG, JPEG, PNG, SVG, or WEBP."
    3. "Name each image file using its category name (for example, Drinks.jpg). The file name must match the category exactly."
    4. "Add category images to a .zip file and upload it below."
  4. Drag the ZIP onto the upload area, or use Click here to upload.
  5. Click Import.

Here the file name must match the category name, not a code — a category called Drinks needs a file called Drinks.jpg. Spelling and capitalisation must match.

What happens next

You'll see "Category images ZIP uploaded successfully." and a new Category images row appears in the table.


Checking whether an import worked

This is the part people miss. Come back to the Imports table to find out.

Each row shows:

A row starts as Pending, moves to Processing while your file is being read, and finishes as Processed or Failed. The table updates itself while a job is still running, so you can leave the page open and watch it change.

Processed doesn't always mean everything went in. If the Report column has text in it, click that text to open the Report window and read the full message — it will name the rows or files that were skipped and why. A Failed row usually carries a report explaining what stopped it.

To find a particular import, use the filter icons in the Import type and Status column headings: Filter by type and Filter by status. Tick the values you want; leave everything unticked to see all imports.

If you have never imported anything, the table shows "No imports found."

Once a catalogue import has been processed, your products appear in Stock — but they still hold no stock at any branch until you set quantities and add it to branch stock.
