Adding and managing products in stock

Add a product to your catalogue, set its price, categories and taxes, and give it a picture.

Before you start: Set up your Categories and Taxes first if you want to attach them while you're creating the product — you can only pick from ones that already exist.

Where to find it: Back office → Stock (or Quick access → Stock in the sidebar)

A product in Stock is the master record: its name, price, description, taxes and pictures. It doesn't hold a quantity. How many of it you have at each shop is held separately go to Branch stock. Adding products one at a time is fine for a handful. For a whole catalogue, see the page for importing catalogues.


Creating a product

Everything happens in one dialog, headed Product info, with three steps shown across the top: Product info, Other attributes and Media.

Steps

  1. Go to sidebar or back office → Stock.
  2. Click + Product at the top right. The dialog opens on step 1.
  3. Fill in Product name — this is required.
  4. Optionally enter a GTIN and an ISBN if your products carry them.
  5. Choose a Unit of measure from the list.
  6. Enter the Price you'll sell at, and optionally a Cost price and a Unit price.
  7. In Categories, search for and tick the categories this product belongs to.
  8. In Taxes, search for and tick the taxes that apply. Each tax you add appears as a chip with an "Inclusive:" toggle beside it — turn it on if the price you entered already includes that tax, and leave it off if the tax should be added on top.
  9. Set the three switches as needed: Available online, Age restricted and Discountable.
  10. Write a Description.
  11. Click Next.
  12. On Other attributes, add any extra detail you want recorded against the product — colour, size, allergens, and so on. Click Add (or the panel itself, which says "Tap add to include attributes"), then fill in the Name and Value. Use the bin icon to remove a row. Attributes are optional — you can go straight on.
  13. Click Next. This is the point at which the product is created.
  14. On Media, upload a Thumbnail — the picture that represents the product in the dashboard and on the POS. Below it, Additional images takes any further pictures.
  15. Click Done.

Careful at step 13. Clicking Next on Other attributes actually creates the product. If you then click Back twice — from Media to Other attributes, and again from Other attributes to Product info — the product you just created is deleted and you start again. Clicking Cancel on step 1 does the same. Once you're on Media, the safe way out is Done.

What happens next

You'll see "Success!" when the product is created, and again when you finish. The dialog closes and the new product appears in the Stock list with its picture, price and the SKU Wollette generated for it.

The product isn't sellable at a shop yet — add it to a branch with a quantity first.

Editing a product

Steps

  1. Go to Back office → Stock.
  2. Find the product — use the Search box at the top if the list is long.
  3. Click the product's name, or open the row's actions menu and choose Edit.
  4. The same three-step dialog opens, already filled in. This time the SKU field is shown, greyed out — it can't be changed.
  5. Change what you need to. You can move between Product info, Other attributes and Media with Next and Back — on an existing product, moving between steps doesn't create or delete anything.
  6. Click Done on the Media step to save.

Changes to the thumbnail and additional images take effect as soon as you upload or delete them, not when you click Done.

What happens next

You'll see "Success!" and the Stock list refreshes with the new details.


Deleting a product

Steps

  1. Go to Back office → Stock.
  2. Open the row's actions menu and choose Delete.
  3. A "Delete stock" prompt asks "Are you sure?"
  4. Click Delete to go ahead, or Cancel to keep the product.

What happens next

You'll see "Stock deleted" and the product disappears from the list.
