Setting up card services for your terminal

SoftPOS licences

Each licence lets one device take card payments through the Wollette POS — activate as many as you need, up to the number your plan includes.

Before you start: Card services must be enabled.

Where to find it: Sidebar → Card services → Licenses (use See all to open the full list)

Under the Licenses heading you'll see how many you're using, in the form "2 / 5 licenses activated". The table lists each one with a Name and a License ID.

The number on the right of that count comes from your subscription plan. See what your plan includes and how to change it.

Activating a licence

Steps

  1. Open Licenses and click Activate.
  2. Activate license opens — "You are about to activate License 3".
  3. Click Activate, or Cancel to back out.

What happens next

"License activated successfully" appears, the new licence is added to the table with its License ID, and the count at the top goes up by one.

Activate is greyed out once you've used every licence your plan includes. To add more, move to a plan with a higher allowance.

Deactivating a licence

Steps

  1. Open Licenses and click the actions menu at the end of the licence's row.
  2. Choose Delete.
  3. Deactivate license opens — "You are about to deactivate License 1. Confirm deactivation".
  4. Click Deactivate, or Cancel to keep it.

What happens next

"License deactivated successfully" appears, the licence is removed from the table and the count goes down. The device using it can no longer take card payments through the POS until you activate a licence again.

If your plan changes

Your licence allowance is set by your subscription plan. If you move to a plan that includes fewer Soft POS licences, the surplus licences are removed when the change takes effect — so before you downgrade, work out which devices you'd rather keep able to take card payments.

Upgrading raises the allowance and lets you activate more straight away.

Setting up your store

Register each branch — and each of its tills — to take card payments.

Two different things are called a "terminal" in Wollette: the till you create in Branch settings, and that same till once it's been registered here for card processing with its MID and TID. This article covers the second — you can only register a terminal here if it already exists in the branch.

Before you start: Card services must be enabled. You'll need your acquirer's online store ID for each branch, and the MID and TID for each till.

Where to find it: Sidebar → Card services → Branches (use See all to open the full list)

The Branches table lists the branches already registered for card processing, with Name and Location. Before you register anything it reads "No branch registered".

Deactivating and reactivating take effect as soon as you click them — there's no confirmation step and no undo, so be sure before you choose them.

Registering a branch for card processing

Steps

  1. Open Branches and click Register branch.
  2. On the Branch level step, choose your branch under Branch (placeholder "Search and select branch") and click Next.
  3. On the Card processing step, fill in Acquirer, Online store ID and Statement descriptor.
  4. Click Register, or Cancel to abandon it.

What happens next

"Branch registered successfully" appears and the branch is added to the Branches table. You can now set up its terminals.

The Register branch button is greyed out once every branch you have is registered — each branch can only be registered once.

Field reference

FieldWhat to enterRules
BranchThe branch you're registeringRequired — "Branch is required". Only branches that aren't already registered are listed.
AcquirerThe acquirer that processes this branch's card paymentsRequired — "Acquirer is required". Defaults to Elavon.
Online store IDThe store ID your acquirer gave you for this locationRequired — "Online store ID is required".
Statement descriptorThe name your customers will see on their card statementRequired. Maximum 25 characters — "Statement descriptor cannot exceed 25 characters". Letters, numbers, spaces, *, - and . only — "Only letters, numbers, spaces, *, -, . are allowed".

Make the statement descriptor recognisable — something like your trading name and town. A descriptor customers don't recognise is one of the most common causes of chargebacks.

Deactivating and reactivating a branch

Steps

  1. Open Branches and click the actions menu at the end of the branch's row.
  2. Choose Deactivate to stop card processing at that branch, or Reactivate to switch it back on.

Only one of the two ever appears, depending on the branch's current state.

What happens next

"Branch deactivated successfully" or "Branch reactivated successfully" appears and the table refreshes. A deactivated branch stays in the list, greyed out, and its Setup terminals action is hidden until you reactivate it.

Registering a terminal

Steps

  1. Open Branches, click the actions menu on an active branch and choose Setup terminals.
  2. View terminals opens, showing a card for every terminal in that branch. If the branch has none, it reads "No terminals found" — add the terminal in Branch settings first.
  3. On the terminal you want, click Register.
  4. In Register terminal, enter the Merchant identification number (MID) and the Terminal identification number (TID).
  5. Click Setup, or Cancel to close without registering.

What happens next

"Terminal registered successfully" appears and the terminal's card changes to show a Deactivate button instead of Register. That till can now take card payments in the POS.

Field reference

FieldWhat to enterRules
Merchant identification number (MID)The MID your acquirer issued for this locationRequired — "MID is required".
Terminal identification number (TID)The TID for this specific terminalRequired — "TID is required". Each terminal has its own TID; don't reuse one.
Processor typeNothing — this is fixed to ElavonGreyed out and can't be changed.

Deactivating and reactivating a terminal

Steps

  1. Open Branches → actions menu → Setup terminals.
  2. On the terminal's card, click Deactivate to stop it taking card payments, or Reactivate to switch it back on.

Both take effect immediately, with no confirmation step.

What happens next

"Terminal deactivated successfully" or "Terminal reactivated successfully" appears and the card's button swaps over. A deactivated terminal keeps its MID and TID, so reactivating it doesn't mean registering it again.
